By using the site and our services you agree to the terms of this policy.

We collect only the data that is genuinely necessary to run the camp safely and to stay in touch with parents. All data is transmitted over a secure HTTPS connection.

1.1 Data you provide directly

  • Names of the parents (guardians) and the child;
  • Contact details: phone, email, home address;
  • Child's date of birth and age group;
  • Health information: allergies, chronic conditions, special needs;
  • People authorized to pick the child up from camp;
  • Payment information — handled exclusively by secure payment providers.

1.2 Data collected automatically

  1. IP address, browser type, and operating system;
  2. Cookies and anonymized visit statistics;
  3. Pages you view and session duration.

2. How we use your data

We use data only for the purposes listed below. We never sell personal information to third parties.

  • Processing registrations and preparing the participation agreement;
  • Communication about the program, schedule, field trips, and changes;
  • Ensuring your child's safety during camp days;
  • Newsletter delivery — only with your consent and with one-click unsubscribe;
  • Improving the site and service quality based on aggregated anonymized data.

3. Sharing data with third parties

We share a limited amount of data only with trusted partners involved in running the program:

  1. ChildEats — receives information about your child's allergies and dietary restrictions;
  2. MMAGoal Academy — receives the medical form and parent contact for the sports track;
  3. Payment providers — process transactions in compliance with PCI DSS;
  4. Government authorities — only upon lawful, official request.

3.1 International transfers

If you are joining us from outside the United States, your data may be processed on servers in the U.S. We apply all reasonable organizational and technical measures to comply with international protection standards, including GDPR.

We use cookies to remember your language preference (UA / EN), form state, and to collect aggregated statistics via Google Analytics. You can disable cookies in your browser — registration will still work, though some features may be less convenient.

5. Protection of children

Protecting children is our absolute priority. We do not collect data directly from children under 13 without written consent from a parent or legal guardian. All photo and video content from camp is published only after the Media Release form is signed. You can withdraw consent at any time — just email hello@sovacamp.com.

6. How long we keep data

We keep your data only as long as needed to deliver the service and as required by law:

  1. Participant data — 3 years after the last camp session ends;
  2. Financial documents — 7 years, as required by U.S. tax law;
  3. Medical forms — up to 5 years after the program ends.

After that period, data is securely deleted or anonymized.

You have the right to at any time:

  • Receive a copy of all data we store about you;
  • Correct or update inaccurate information;
  • Request deletion of your data ("right to be forgotten");
  • Withdraw previously granted consent for processing;
  • File a complaint with the relevant regulator in your jurisdiction.
